The Management Committee of BayFM is elected at the Annual General Meeting generally held in late November- early December each year. All positions are undertaken in a voluntary capacity. Below is a brief description of each members responsibilities. For more complete details see documentation at the station.
The Management Committee of BayFM Community Radio Incorporated was elected at the AGM of November 25 2009. Executive CommitteePresident - Ros Elliott
- Acts officially on behalf of, and as a spokesperson for BayFM at all levels in our communityProvides leadership to the Management Committee (MC)
- Is aware of legal, financial, employments, planning and evaluation requirements of the station
- Is responsible for mediation and conflict resolution
- Takes responsibility for the activities of all BayFM volunteers and for their well being
Vice President - Tony Parker
- Supports the President in carrying out her duties
- Assumes role of Acting President if President is unavailable
- Accepts delegated responsibilities as set by President.
Secretary - Sandy Loyal
- Arranges MC meeting times, venues, agendas in conjuction with President
- Recieves and presents inward corrospondence to MC and oversees or attends to all outward corrospondence, keeping records of all.
- Arrange and maintain BayFM records, official documents, corrospondence and information resources
- Arrange Annual General Meeting, Special General Meetings and notifies all members of Association.
- Be the minute taker or oversee delegation of Minutes Secretary role
Treasurer - Des Bellamy - Ensures all money due is received and that all payments authorized by the Association are made
- Keep correct books and accounts showing the financial affairs of the Association
- Prepares and reviews the annual budget and reports periodically on budget position
- Report on the financial aspects of all proposals by MC
- Arrange annual audit of books
- Ensure financial administration activities are correctly managed
General Committee Members (7) Each Committee Member is expected to be a member on a minimum of one Working Team. Their position within the Working Team will be that of MC Representative
Minutes Secretary - Carolyn Delzoppo - Takes minutes of all MC meetings.
- Distributes minutes to membership by access to hardcopy and by email
- Retains minute book
- Keeps a record of all substantive motions.
Administration Representative - Nancy Jo Falcone - Coordinate and liaise with Office Coordinators regarding any reporting requirements & MC decisions affecting the administration of the station
- Monitor all bookkeeping records and procedures at the front desk Authorise all changes to Office Procedures & Forms, implement Administration Vollie Training Sessions & Social Meetings
- Keep abreast of Office Volunteer sufficiency & training, in conjunction with the Office Coordinators
- During the lead up to and the actual month long subscriber drive and the weeks immediately following, oversee all Administration activities in the station related to Radiothon
Broadcast #I Representative - Quentin Watts
- Directly oversees the following Broadcast positions:
- Music Department Coordinator and Librarian; Prizes & Give-Aways Coordinator; Interview Coordinator. Ensures Prizes & Give-Aways policy is adhered to by all.
- Advise MC of proposals for involvement in Outside Events.
- Involvement with Outside Events Coordinator.
Broadcast #2 Representative - Don Prentice
- Directly oversee the following Broadcast Positions- Programme Administrator, Sponsorship Representative, Contra SponsorshipCoordinator, Media Sponsorship Coordinator, Production Coordinator, Outside Broadcast Coordinator and IT Content Coordinator.
- Be an active and full member of the Programme Team
Fundraising Representative - this position currently vacant
- Be first point of contact for all fundraising inquiries, excluding Sponsorship and Grants; and BayFM Social Events
Property #1 Representative - KB- Responsible for overseeing maintenance of the Building (external and internal), of furniture, and broadcast equipment and cleaning of the premises.
- Responsible for development and implementation of OHS policies
Property #2 (IT) Representative - Robin Buckley- Oversee all IT within station
- Responsible for overseeing maintainance of IT equipment (hardware and software)
- Oversee Website Team
